PLANNING STAGE (SCOPE) : COLLECT REQUIREMENTS



Requirement is a condition or characteristics that the outcome of the project must have. The requirements can be collected by doing the interviews, surveys, observations, questionnaires, focus groups, facilitated workshops, brainstorming, prototype (getting feedback), bench-marking (do comparison in order to get the best) etc.


The project charter, stakeholder register, scope management plan and requirements management plan are important documents that will help you to know what type of method will be easy to use to collect what type of requirement from what kind of stakeholder. Remember stakeholders differ from one project to another, among them are project sponsor, project team, clients, partners, suppliers, government representatives, competitors etc. If you miss collecting the requirements from the stakeholders, the succession of the project will be in vain, because their needs and expectations for the project matter a lot. From these requirements, you can also determine the cost, tasks needed, schedule for the tasks etc


Note:
There are six types of requirements

  • Business requirements where by we look for the opportunities and needs for the organization if they meet the objectives, rules and principles of the organization.
  • Stakeholder requirements like the needs from each stakeholder or group of stakeholders, such as impacts to other areas, inside and outside the organization
  • Solution requirements like functions, characteristics and features of the product, service or result for instance technology, support, quality, functionality of the outcome etc
  • Transitional requirements like bringing temporary capabilities such as training 
  • Project requirements meaning the conditions that the project must meet such as acceptance criteria, levels of safety, performance etc
  • Quality requirements or criteria that approves the successful completion and fulfillment of the product, project, or other requirements

After getting all the requirements, link together with the project objectives in order to define Scope as the third process.
